Balance does not match the entries? How Munshi’s Correct button fixes it

Checked against the app. Steps and screen names match Munshi 1.0.16. Written for businesses in Pakistan. Last reviewed 17 October 2026.

If a balance does not match the entries under it, Munshi tells you on that account and on Home: it shows the balance and the total of the entries. Tap Correct, check the Now and After figures, and confirm Correct balance. Your entries are not changed or deleted; the balance is simply made to agree with them, because the entries are what reports and statements use.

Why a balance can disagree with its entries

A balance is a running total that Munshi keeps up to date as you record. Each entry also exists on its own. Normally the two always agree. On rare occasions, such as an interrupted save, a double tap or a connection that dropped at the wrong moment, the saved total can drift away from the sum of the entries. When that happens, the safest source of truth is the list of entries.

How you notice

You do not have to find this yourself. Munshi checks and tells you:

  • On the account page: “This balance doesn’t match the entries. It shows Rs 4,200, but the entries below add up to Rs 3,700.”
  • On Home: a prompt for the account to check, so you see it even if you do not open that customer.

How to correct it, step by step

  1. Open the account, or tap the prompt on Home.
  2. Tap Correct. A message titled “Correct this balance?” shows Now (what the balance says) and After (what the entries add up to).
  3. Compare them. If the After figure is what you expect from your entries, continue.
  4. Tap Correct balance. Munshi confirms: “Done. Now: …”.

If the balance already matches, Munshi says so and changes nothing. If it changed while you were looking, it asks you to look again and retry. You need an internet connection for this step; if you are offline, try again when you are connected.

What Correct does and does not do

It doesIt does not
Make the balance agree with the entriesChange, add or delete any entry
Show you Now and After before anything happensTouch other customers, the Cash Book or your bank records
Fix the figure that appears on Home and the accountDecide whether an entry is right or wrong

That last point matters. Correct will not tell you that an entry is a mistake. If the entries themselves are wrong, for example a wrong amount or the wrong customer, fix them as described in how to fix a wrong entry in your khata.

Two different problems with similar symptoms

  • Balance and entries disagree: use Correct. The figure is out of step with the list.
  • The whole account reads backwards (Ali shows as owing you when you owe him): use Flip who owes whom. It flips every entry’s direction together, and you can flip it back at any time.
  • One entry is wrong: edit or delete that entry. A deleted entry waits 14 days in the Recycle bin.

When to tell the customer

If correcting a balance changes what a customer owes, tell them and share an updated statement. A short, honest note builds more trust than a quiet change. See how to settle a customer dispute with proof. If the same account keeps drifting, contact support from Settings with the details, so we can look at it.

Keep balances healthy

Record each entry once, wait for it to save before leaving the screen, and keep the app updated. The habits in seven small habits of a khata that always balances help too.

A worked example, from warning to fix

Imagine Ali’s account. His entries are: Rs 4,200 credit on 3 October, a payment of Rs 3,000 on 10 October, and Rs 2,300 credit on 18 October. Adding them gives Rs 3,500, which is what Ali owes you. One morning Munshi shows a notice on his account: “This balance doesn’t match the entries. It shows Rs 4,200, but the entries below add up to Rs 3,500.” Here is what happens next:

  1. You open the account and tap Correct.
  2. Munshi shows Now: Rs 4,200 and After: Rs 3,500, and explains that your entries are what reports and statements use.
  3. You compare with your own sense of the account: three entries, adding to Rs 3,500. The After figure is right.
  4. You tap Correct balance. Munshi confirms: “Done. Now: Rs 3,500”.

Nothing in the list of entries changed. Only the stored total moved to match them.

Checking the entries before you correct

The Correct button trusts the entries, so spend thirty seconds checking them. Read the list. Is every payment present? Is there a duplicate? Is an amount obviously wrong? If you find an error in an entry, fix the entry first, then use Correct if the balance still disagrees. Correcting a balance to agree with wrong entries gives you a consistent but wrong account. The entries are the record; the balance is a summary of them.

What if the After figure is not what you expect

If the After figure surprises you, do not confirm. Compare it with your paper notes, a statement you shared earlier, or a message from the customer. Common reasons for surprise are a payment you recorded under a different customer, a missing entry, or an entry with a wrong sign. In those cases, deal with the entries, not the balance. If an account reads backwards entirely, use Flip who owes whom instead; see how to fix a wrong entry in your khata.

Why this can happen, and why it is rare

A balance is stored alongside the entries so that screens load fast. Almost always, the two stay in step. Rare events, such as an interrupted save, a connection that drops mid-update, or a double tap on Save on a slow phone, can leave them apart. Recent versions of Munshi guard against double-counting from a second tap on Restore or Save. The check that shows the warning exists so that if a mismatch does happen, you find out immediately and can fix it in one tap, rather than discovering it in a customer’s statement.

Keeping your records trustworthy over time

  • Wait for an entry to appear in the list before you leave the screen.
  • Do not retype an entry you think failed until you have checked the list.
  • Keep the app updated.
  • Look at Home for warnings during your weekly review.
  • Back up regularly.

Frequently asked questions

What does “This balance doesn’t match the entries” mean?

The balance shown on the account is different from the total of the entries listed under it. Munshi tells you both figures.

Does Correct delete or change my entries?

No. No entry is changed or deleted. Correct only makes the balance agree with the entries.

Why do reports use the entries?

Reports and statements add up the entries, so the entries are the reliable record. Correct brings the balance in line with them.

Do I need internet to correct a balance?

Yes. If you are offline, try again when you are connected.

What if the balance only looks backwards?

That is a different fix: use Flip who owes whom on the account, which flips every entry’s direction and can be flipped back.
