Seven small habits of a khata that always balances

You don’t need accounting training. You need the same few habits, every day.

A khata that “mostly” balances is worse than none, because you can’t trust any number in it. The good news is that accuracy comes from a few simple habits, not from accounting skill.

1. Record at the moment, not at night

Entries written from memory at closing time are where most mistakes are born. Record the credit while the customer is still standing there. With one tap on You gave or You got, it takes seconds.

2. One person, one account

If “Ali” and “Ali Raza” and “Ali bhai” are three accounts, none of them is right. Use the full name once, add the phone number, and let Munshi warn you about a duplicate number.

3. Note what it was for

“Monthly grocery” or “Easypaisa payment” costs you five seconds and saves a ten-minute argument later. Photos and voice notes work even when you’re offline.

4. Count the cash every evening

Compare the cash in your drawer with the Cash Book total. If they match, you’re done. If they don’t, you’ll find the mistake while it is still small and fresh.

5. Keep shop money and home money apart

Taking cash for the household is fine. Not writing it down is the problem. Record it as an expense under its own category so your profit figure is honest. If you run a second business, give it its own set of books.

6. Look at the totals weekly

Once a week, open Reports for the last seven days. You’ll notice that one customer is way past their date, or that an expense category is growing, long before it becomes a problem.

7. Back up, and don’t fear mistakes

Everybody deletes the wrong entry sometimes. Deleted entries wait 14 days in the Recycle bin, so you can restore them. And a backup on your own Google Drive means a lost phone is an inconvenience, not a disaster.
