A digital khata book, or digital bahi khata, is the paper credit register on your phone: you record what you give on credit and what you receive for each person, and the app keeps their balance, shows your totals and can send reminders and statements. The idea is as old as the shop ledger; what is new is that the arithmetic, the remembering and the sharing are done for you. This guide explains how it works, what it adds, and how to start.

The paper habit, kept

A khata is simple: a page per person, a line per transaction, a balance at the bottom. A digital khata book keeps exactly that. You still think in “udhaar” and “wasooli”. The difference is where the lines live and who adds them up.

How it works in practice

  1. Add a person with a name and, if you like, a phone number.
  2. Record credit: tap You gave and enter the amount (they owe you more).
  3. Record a payment: tap You got (they owe you less).
  4. The balance is written in plain words, such as “Ali Raza owes you Rs 13,700”, with red for money you will get and green for money you will give.
  5. Home shows the totals across everyone.

What to look for

  • Offline entry, for power cuts and weak signal.
  • Urdu, including statements.
  • One-tap recording.
  • Backups and an app lock.
  • A fair price: free, or low and clear.

What it is not

A khata app is not full accounting software. Munshi, for example, does not create invoices, track stock or run payroll. It records money you are owed and owe, your cash, your bank accounts and your expenses.

How to start in an afternoon

  1. Install the app and sign in with your phone number.
  2. Add the customers who owe you money, with their balances.
  3. Record every new credit and payment as it happens.
  4. Keep the paper register as an archive and stop writing in it after a week of running both.

The step-by-step plan is in how to move from a paper khata to a mobile app, and the daily routine in how to manage udhaar digitally.

A short history of the bahi khata

The bahi khata is one of the oldest business tools in South Asia: a bound ledger in which a trader writes who owes what. Its strength is its simplicity. Anyone in the shop can read it, and a good page tells a complete story: the date, the goods, the amount and the balance. A digital khata book does not replace that idea. It protects it from the things that have always gone wrong with paper: lost pages, rubbed ink, arithmetic mistakes and the single copy that exists in only one place.

A day in the life of a digital khata

To see how it works in practice, follow one ordinary day:

  • Morning. You open the app and Home shows what you will get and what you will give. You know your position in a glance.
  • At the counter. A regular customer takes goods on credit. You open their page, tap You gave, type the amount and a short note. It takes seconds and works even if the signal is gone.
  • Midday. Another customer pays part of their balance. You tap You got. Their balance goes down and reads in plain words.
  • Evening. You count the drawer and compare it with the Cash Book. If it matches, the day is closed.
  • Once a week. You open Reminders, send a few polite WhatsApp messages, and check your oldest balances.

Nothing in that day requires accounting knowledge. The app handles the adding up, the sorting and the remembering.

Three myths about going digital

“I will lose my records if my phone breaks.” The opposite is closer to the truth. A paper register exists once. A digital khata is saved on the phone, in the cloud against your phone number, and, if you choose, in your own Google Drive.

“It will be too complicated for my staff.” The main action is one tap and an amount. If your staff can use WhatsApp, they can record an entry. The app also works in Urdu.

“It needs internet all day.” A good one does not. Entries are saved on the phone and synced later, which matters during power cuts and weak signal.

Privacy and who can see your khata

A khata is the list of who owes you money, so who can see it matters. Look for an app lock with a PIN, so a borrowed phone does not open your records. Look for a clear statement that your customers’ details are not shared with advertisers. In Munshi, App Lock hides the app in the app switcher while it is on, and customer names, numbers and amounts are never shared with advertisers.

Is it right for you?

If you give credit even occasionally, chase payments, or ever worry about losing the book, a digital khata book pays for itself quickly. If you have only a few customers and sit at a desk, a notebook or a spreadsheet may be enough for now; see Excel or a khata app. If you decide to move, the plan in how to move your bahi khata to an app and the import guide in how to import customers into Munshi make it an afternoon’s work.
